Work Profile

The Work Profile is the fundamental pillar on which Jira Capacity Planner operates. This global configuration establishes the standard work schedule for the entire organization, defining the working hours for each day of the week. It is the benchmark for all availability and capacity calculations.

To access this configuration, a Jira administrator can navigate to Administration > Manage apps > Capacity Planner > Work Profile.

NOTE

Only one Work Profile can be active at a time. Any changes made to this profile will immediately affect all capacity calculations, including the planner view and the availability validation when assigning members to a team.

Work Profile Configuration

1. Work Schedule Configuration

This section allows you to accurately model your organization's work week.

  • Profile Name: Provide an intuitive name that represents the profile's purpose, for example, Corporate Work Schedule or Standard Work Week.
  • Description: An optional field to add additional context, such as "Standard profile for full-time employees, Monday to Friday."
  • Hours per Day: Specify the number of working hours for each day of the week.
    • Days with 0 hours are considered non-working days.
    • These values are the basis for calculating each user's daily capacity.

2. Issue Date Field Mapping

For the planner to quantify assigned work, it needs to know which date fields from Jira issues to use to determine a task's duration.

  • Start Date Field: Select the issue field that your organization uses to mark the beginning of a task. Common fields are Start Date.
  • End Date Field: Select the field that marks the delivery or completion date. Common fields are Due Date.
IMPORTANT!

The correct configuration of these fields is crucial. If they are not mapped or if incorrect fields are chosen, the planner will not be able to calculate the hours assigned to users, showing their workload as 0, even if they have issues assigned. Ensure that these fields are used consistently across the projects that will be monitored.

The plugin uses the date range defined by these two fields in an issue to distribute the estimated work hours over the corresponding workdays, allowing for an accurate calculation of a user's daily load.
