The Capacity Planner View

The Capacity Planner view is the central visualization tool for team leaders and project managers. It offers a complete overview of the workload, availability, and utilization of a team's members over time, allowing for informed decisions about task allocation and future work planning.

Accessing the Planner

To access the tool, navigate to your Jira project. If the administrator has enabled the plugin for your project, you will find a Capacity Planner tab in the left navigation menu.

Exploring the Interface

The interface is divided into two main areas: the filtering controls and the planning grid.

1. Planner Controls

At the top, you will find the filters to define the context of your analysis:

  • Team Selector: This dropdown menu allows you to choose which team you want to analyze. The list will include all Global type teams and any Project type team that is specifically linked to your current project.
  • Month and Year Selector: Allows you to navigate through time to review the planning for past, current, or future months.

Each time you modify one of these filters, the planning grid will automatically update with the corresponding data.

2. The Planning Grid

This is the visual matrix that crosses team members (rows) with the days of the month (columns).

Workload Cells

Each cell represents a person's work on a specific day and contains a number indicating the total hours assigned for that date. The cell's color acts as a workload "traffic light":

  • Green: Healthy workload. The assigned hours are below the user's available capacity.
  • Amber/Yellow: Workload nearing the limit. It is a warning that the user is approaching their maximum capacity.
  • Red: Overallocated. The assigned hours exceed the user's available capacity for that day. Requires immediate attention.

Status Cells

Some cells do not show hours, but rather indicate a special status:

  • Gray: Non-working day. Indicates a weekend (according to the Work Profile) or a holiday (according to the Team's Calendar). Availability is zero.
  • Pastel Orange: Registered absence. The user is not available to work that day due to vacation, illness, etc. Availability is zero.
  • No color: Working day with no load. The user is available but has no tasks assigned for that day.

Hover over any cell to get a tooltip with crucial details:

Use Tooltips to Diagnose

Tooltips are your best tool for understanding the reason behind a color or a number.

  • In a cell with assigned hours: You will see the assigned vs. available hours and, most importantly, a list of the issue keys that contribute to that load. This allows you to identify which tasks are causing a potential overload.
  • In an empty cell: You will see the total available hours, ideal for knowing where you can assign new work.
  • In a status cell: It will confirm the reason, such as "Non-working day" or the type of absence.

3. Summary and Totals

The bottom and right side of the grid offer aggregated data for a macro-level analysis:

  • Totals per Day Row: Shows the sum of assigned and available hours for the entire team on each day of the month. It is useful for identifying team-level bottlenecks.
  • Totals per User Columns: Shows the monthly sum of assigned and available hours for each person, along with a total utilization percentage. This helps you assess whether a member's workload is balanced throughout the month.
